What the first conversation covers
Expect questions about the services you provide, the counties you serve, how quickly you are hiring and how caregivers get to visits. If you are a new agency, the agent will ask about the owners' background in health care and whether you hold any state license or Medicare certification that applies to your service type.
If you already have coverage, the most useful items are the current declarations page and loss runs from your insurer. Loss runs list each claim, what was paid and what is still reserved, and most insurers will not quote a renewal without them.
Timing
Start shopping well ahead of your renewal date so there is time for underwriting questions and, if needed, a loss-control visit. New agencies should line up coverage before the first employee starts work, because most states require comp from the first day of employment.
After coverage starts
Post any notices your state requires, give staff clear instructions for reporting injuries, and keep the insurer's claim-reporting contact handy in the office and in caregiver handbooks. Set a reminder to gather payroll records before the audit at the end of the policy term.
